Which Channel to Use When

All four reach the same people. Choosing well just gets you an answer faster.

Call — anything urgent

A notice with a deadline this week, a portal problem blocking a filing, a bank or authority asking for something today. Phone first, then send the document.

WhatsApp — quick questions

Short queries, photographs of a notice or challan, confirming whether something has been filed. Convenient, and fine for most day-to-day exchanges.

Email — documents and record

Anything involving files, anything you want a written trail of, and anything where the detail matters more than the speed. Please put the entity name in the subject line.

In person — complex matters

Business restructuring, succession, a first meeting about an audit, or any conversation that works better across a table. Call ahead so the right person is free.

Sending the right set the first time typically saves several days. If something on the list does not exist yet, send what you have and say so — that is far more useful than waiting until the file is complete.

Practical

Sending Documents Safely

Scans beat photographs

Where you can, send a scan or a PDF rather than a photograph. If you are photographing a document, use good light, capture the whole page including edges, and check the text is readable before sending.

Name the file usefully

Something like ABC-Traders-GSTR3B-Jun2026.pdf saves everyone time. A file called IMG_20260806.jpg does not.

Large files

For anything over email limits, share a Google Drive or WeTransfer link rather than splitting the file across several messages.

Never send passwords in the open

Do not send portal passwords, OTPs or digital signature PINs over email or WhatsApp. If a credential is genuinely needed, call and give it by phone.

Keep your own copies

Always retain originals and your own copy of anything you send. We return original documents on completion, but your set should never depend on ours.

Tell us the deadline

If a document has a date attached — a notice, a tender submission, a bank cut-off — say so in the first message rather than the third.

Deadlines

What Counts as Urgent

Compliance runs on fixed dates and most of them cannot be extended. If any of the following applies, call rather than email — an email sent on a Saturday evening about a Monday deadline is a problem for both of us.

A notice with a reply date

GST REG-03, income tax scrutiny, demand notices and departmental queries all carry short reply windows. Bring us the notice the day you receive it, not the week it expires.

A tender or bank submission

Certificates for tenders and credit facilities are usually needed against an external cut-off. Tell us the submission date at the outset so the format can be confirmed first.

A blocked filing or portal issue

An OTP not arriving, a DSC failing, a GSTIN suspended. These are often fixable the same day if flagged early and painful if flagged late.

A remittance waiting on Form 15CB

Banks will not process the remittance without it. If a payment is scheduled, tell us the date before the certificate work begins.

Raise it with the person handling your work

Most issues are a misunderstanding about scope or timing and are resolved in one conversation.

Escalate in writing

If that does not resolve it, write to info.cmpatelandcompany@gmail.com marking the subject as a grievance, setting out what happened and what outcome you are looking for. It will be reviewed by CA Chiranjit Patel personally.

Chartered Accountants in India are regulated by the Institute of Chartered Accountants of India, which operates its own disciplinary mechanism for complaints against members. Details are available on the ICAI website.

Frequently Asked Questions

How quickly will I get a reply?
It depends on the channel and the question. A phone call during office hours reaches someone immediately. WhatsApp and email are checked through the working day. Anything with a statutory deadline attached is prioritised over anything without one, so tell us the date in your first message rather than waiting to be asked.
Can I get help outside office hours?
Office hours are 10:00 am to 8:00 pm, Monday to Saturday. Around statutory deadlines — the twentieth of the month for GST, the end of September for tax audits, the end of July for returns — the practice runs longer hours. Outside those, send the message anyway and it will be picked up when the office opens.
I am not a client yet. Can I still ask a question?
Yes. A first conversation costs nothing and there is no obligation on either side. We will tell you honestly whether the matter is something we can help with, and if it is not, we will usually be able to point you somewhere useful.
How do I verify a certificate you have issued?
Every certificate we sign carries an eighteen-digit Unique Document Identification Number. Enter it at udin.icai.org and the ICAI portal will confirm that a genuine member issued it on the date stated. If you have been given a certificate by anyone without a UDIN, that is worth questioning.
Can you work with clients outside Vadodara?
Yes. Income tax, GST and MCA compliance are handled online, and we work with clients across Gujarat and beyond. The things that genuinely need someone local are physical stock verification, in-person representation before local authorities, and the occasional meeting that works better face to face.
